Onsite Registration
Onsite registration will not be available. Registrations must be received
by 24 June 2011.
Visas and Letters of Invitation
If you require a letter of invitation for WINVR 2011 as a part of a visa
application, you must submit a written request to ASME Europe Office via
email or fax no later than 15 April 2011. For information on visa and travel
regulations, please visit the Obtaining a Visa and Invitation Letter page.
Terms and Conditions of Registration
Upon confirmation of your registration, we will send you an invoice via
email within 3-5 business days. For additional information regarding your
registration, please send an email to the Registration Coordinator, Isabella Fiorenza: fiorenzai@asme.org.
Liability
In the case of government intervention or regulation, military activity,
strikes or any other circumstances that make it impossible or inadvisable
for WINVR 2011 to take place at the time and place provided, the participant
shall waive any claim for damages or compensation except the amount paid
for registration after deduction of actual expenses incurred in connection
with the congress and there shall be no future liability on the part of
either party.
Payment, Cancellation and Refund Policy
Costs relating to WINVR 2011 are in Euros. All payments must be made in
Euros. Payments must be received prior to the event. Delegates with outstanding
payments will be asked for payment on site, proof of payment or a guarantee
by credit card. If one of these cannot be supplied, the delegate will be
refused permission to attend the conference. Cancellations must be submitted
in writing and postmarked on or before 2 May 2011. A EUR 50 cancellation
fee will apply to cancellations received by 2 May 2011. Cancellations received
on or after 2 May 2011 will not be refunded. Refunds will be made after
WINVR 2011, in the same manner as the original payment was received.
Modification of Registration
Please note: a handling fee of EUR 50 will be charged for every modification
made after 2 May 2011. All modifications must be received by the WINVR 2011
Registration Coordinator in writing.
Payment
Our online registration site is a secure site. Major credit cards such as
American Express, VISA and MasterCard are accepted.
Security
For security reasons, all registrants will be issued a badge onsite which
must be worn at all times during the conference and any organised functions.
Badge swapping is strictly forbidden.
Reservation Policies
WINVR 2011 organisers have secured preferential rates at several
hotels for WINVR 2011 delegates.
Please note that delegates are required to make their own hotel reservations,
using the forms available on the hotel listing below.
Reduced rates are subject to availability. Hotel bookings must be guaranteed
by credit card (guests will pay for their accommodation directly upon
departure). Reservation requests without such guarantee will not be processed.
Please note that the room blocks will be released at different dates for
each hotel. After the release date discounted rates cannot be guaranteed.
We therefore advise you to book early. If the hotel is fully booked, the
organisers reserve the right to book the best alternative accommodation
possible. Hotel bookings cannot be processed without an official congress
registration.
Please check the individual conditions for cancellations of hotel reservations.
In the case of no shows or cancellations made after the stipulated date
on the individual conditions, the hotel will charge the room rate for
the total envisaged period of stay.
