Conference Registration

As a result of Hurricane Sandy, the Congress Advance Registration deadline has been extended to November 7, 2012, at 7pm EDT.


All Congress attendees, including authors, speakers, chairs, co-chairs and session organizers must register and pay the appropriate fee. See more information on the registration requirement below.

REGISTRATION POLICIES
Full Conference Registration Includes: Student Design Contest, Opening Reception, Undergraduate Student Expo, Access to the entire Technical Program, Monday's Keynote Event, Tuesday and Wednesday Breakfasts (General Sessions); Honors Assembly and Reception; Exposition Hall Access; Posters; Daily Lunches (Monday-Thursday) and 1 copy of the conference DVD.


†† ALL Student Non-Members fully paid for the conference are entitled to a FREE one-year ASME Student Membership in addition to access to the: Student Design Contest, Opening Reception, Undergraduate Student Expo, the entire Technical Program, Monday's Keynote Event, Tuesday-Thursday Breakfasts (General Sessions); Honors Assembly and Reception; Exposition Hall; Posters; Daily Lunches (Monday-Thursday) and 1 copy of the conference DVD.


*One-Day registration categories include (1) copy of the conference DVD and the specific day Breakfast/Keynote or General Session and Lunch.


**Undergraduate Student Expo Presenter registration category includes access to ONLY the Undergraduate Student Expo on Sunday. If you are interested in attending the full conference, please register in one of the Student categories. Includes FREE one year ASME Membership. Current ASME Members will be extended an additional year.


+Committee Meeting Only & Guests/Spouses are entitled to attend: ALL ASME Business/Committee Meetings, Exhibit Hall, Opening Reception, Monday's Keynote Event, Honors Assembly and Reception. Badges MUST be worn at ALL time. All other items are available for purchase.


++Student Design Contest Only Participants are entitled to attend the Student Design Contest, and the Opening Reception ONLY. All other items are available for purchase.


+++OG Old Guard Oral Presentation Competition are entitled to attend ONLY the Old Guard Presentation Competition. All other items are available for purchase.


REGISTRATION REQUIREMENT FOR PRESENTERS
Every submitted paper, presentation and panel presentation must identify one designated Presenter. This Presenter must register and pay the full conference registration fee by the Early Bird registration date (August 20, 2012). If not, the paper will NOT be included for publication in the proceedings and the accompanying presentation information will be removed from the conference program.


If the one designated Presenter is a Student, this person must still pay the applicable Full Conference Member or Non-Member fee unless a co-author is registered at the full registration rate. If additional authors of the same paper are students, they may pay the applicable Student Member or Non-Member Presenter fee.

Presenter = Author Presenter, Panelist, Presenter of a Poster Paper, Presenter of an Oral Presentation.
Paper = Technical publication, extended abstract, short paper, poster paper, oral presentation, panel presentation. The paper types to be published are technical publication, extended abstract, short paper, and poster paper.


NON-PRESENTING AUTHORS AND CHAIRS
All non-presenting authors, session chairs and co-chairs that will attend Congress 2012 are required to register and pay the appropriate registration fee.


FREE ASME MEMBERSHIP
Non-ASME Members who pay a Non-member registration fee, and Students, who pay the Non-Member student fee, can receive a one-year ASME Membership FREE. ASME will contact eligible registrants and invite them to join within 90 days after the conference. Click here for more information about ASME membership.


REFUND POLICY-PRESENTERS
For Presenters, refund requests MUST be submitted in writing via email to IMECE@asme.org or via fax at 212-591-7856 by AUGUST 31, 2012. Once the refund is approved, a full refund, less a $75 administrative fee, will be applied to the same method of payment received within 14 days. Once the refund is issued, the paper will be REMOVED from the conference DVD, proceedings and final printed program.


If, however, a co-author has registered and paid by the August deadline, and is designated to present the paper, the paper will NOT be removed. ALL authors who have been designated to present a paper at the conference MUST register as a presenter and pay the Presenter rate.


REFUND POLICY-GENERAL CONFERENCE ATTENDEES
Refund requests MUST be submitted in writing to IMECE@asme.org or via fax at 212-591-7856 and MUST receive approval. Once the refund is approved, a full refund, less a $75 administrative fee, will be applied to the same method of payment received within 14 days. The last date for ALL refunds is OCTOBER 30, 2012. No refunds will be granted after this date. NO EXCEPTIONS. No-shows will NOT be eligible for refunds.


ASME PRESENTER ATTENDANCE POLICY
The compilation presented in the DVD is not the archival version of the Proceedings. Paper information contained therein should not be used for citation purposes. According to ASME's Presenter Attendance Policy, if a paper is not presented at the conference, the paper will not be published in the official Archival Proceedings, which are registered with the Library of Congress, and are abstracted and indexed. The paper also will not be published in the ASME Digital Library, and may not be cited as a published paper.


COOPERATING SOCIETIES
Members of cooperating societies may register for the Congress at the ASME member rate.
