Mandatory Presenter Registration

Overview
The Congress Technical Planning Committee has approved a new requirement for implementation, starting in 2006. For each paper/presentation either:

  • Peer reviewed and accepted for publication in the Congress proceedings (electronic or hard copy); or
  • Accepted for poster session; or
  • Accepted for presentation only; or
  • Accepted for panel presentation only
a designated "presenter" (see definitions) will be identified and required to pay the appropriate registration fee by the established deadline of August 24.


If the presenter has not registered by the August 24 deadline:

  • The paper will NOT BE PUBLISHED in the proceedings.
  • The presentation information will be removed from the conference website and on-site printed program.


Definitions
For the purposes of requirement, the following definitions are understood:

  • Presenter = author presenter, panelist, presenter, student presenter, presenter of a poster paper. The term "presenter" will be used to mean all of the above roles.
  • Paper = technical publication, extended abstract, short paper, poster paper, oral presentation, panel presentation.
    NOTE: The paper types published are technical publication, extended abstract, short paper, and poster paper.


Handling Exceptions
Exceptions to the registration requirement for presenters will be considered on a case-by-case basis. Requests for an exception to this requirement must be sent to the General Conference Chair, Dan Davis, davis@aero.tamu.edu by August 17. Only requests submitted via e-mail will be considered; please do not provide requests by other methods. The General Conference Chair of the Congress is the only authority to grant exceptions to the registration requirement.


Important Publication Notes

  • The deadline for notification of papers to be removed from publication will be firm: no extensions will be allowed.
  • Once papers have been designated for removal from the proceedings, we cannot "put them back."
  • We will not offer to publish removed papers at a later date or in the proceedings of another conference.
  • Papers not published in the digital version of the Congress proceedings produced for onsite distribution will not be published post-conference on the Digital Store or in the print editions.
  • Copyright forms received for papers removed from publication due to lack of fulfillment of this requirement will be returned to the corresponding author(s) post-conference.
